Our headquarters in Berlin Mitte is the heart of Phorms Education and supports all of our educational institutions across Germany. Here, a team of almost 100 colleagues ensures that everyday life runs smoothly on site so that our daycare centers and schools can concentrate fully on what really matters: the education of children and young people.

Our Departments

  • Human Resources

    Our HR team is the linchpin of the People & Culture Department. We are the connecting element between our locations and our employees. From personnel planning and recruiting to onboarding, contract changes and special requests through to offboarding - we take care of everything. 

     

    Our HR representatives and HR administrators work hand in hand and are in constant dialogue with managers and employees on site. At Phorms, we attach great importance to a collegial atmosphere. That's why we don't rely on an anonymous ticket system - we focus on people and personal contact. Thanks to the expertise of our specialist departments in legal, accounting and marketing issues, we can concentrate fully on personnel support and strategic organizational development. Our large and diverse team has the right solution for every concern and provides active support.

  • Payroll

    Our payroll team is responsible for ensuring all employees receive their monthly pay, including any individual benefits, on time. To ensure that the process runs smoothly, we are fully accountable to our sites for these payments - which is much more than just entering data into Excel spreadsheets. We deal with specific questions from the sites, oversee the external audits and also perform internal content checks on the information we receive, such as account details. 

     

    Our standard accounting is generally not very complex. Our aim is to implement everything in accordance with the wishes of the locations. This results in a large number of changes on a monthly basis, which we have to consider and account for correctly. As our financial year ends in July, we always have a peak in August in terms of new arrivals, departures and changes. All in all, the tasks are very varied - if you like payroll accounting, you will get the best of all sub-areas when you join us.  

  • HR Marketing & Talent Acquisition

    Even good schools and nurseries can only succeed with the right staff. After all, even the best concept needs people who are committed and motivated to put it into practice every day. That's why our HR Marketing and Talent Acquisition teams, part of the People & Culture department, do everything they can to ensure that the right teachers and education professionals apply to us and that vacancies are filled on a sustainable, long-term basis.  

     

    This starts with placing job advertisements, continues with social recruiting, includes posting on our careers blog and social media channels, and extends to the design and implementation of major HR marketing campaigns and events. Our talent acquisition activities also include direct outreach to candidates and active participation in relevant recruitment events. In all of this, we keep an eye on internal HR marketing and consistently measure the success and quality of all our activities. 

     

    There are no limits to the creativity of our work, as our colleagues in the graphics department bring our ideas to life professionally. 

  • Marketing

    We are the marketing team of the Phorms Group and partner consultants for our nurseries, schools and educator academy. Together we have one goal: to inspire students and their parents with our educational concept.  

     

    Our day-to-day work is shaped by the diversity of our locations and their needs, from target group, market and competition analysis to designing eye-catching campaigns and implementing creative measures with the help of our in-house creative team. We enjoy conceptualizing various marketing activities as a team, testing new communication channels and developing formats that make a big impact. 

  • Graphics

    Whether in Berlin, Hamburg, Munich, Frankfurt or Baden-Württemberg, our Phorms kindergartens and schools share many similarities, but each one is nevertheless completely unique. This is a challenge that our graphics team faces every day and masters with a passion for design.  

     

    We ensure a distinctive look and feel - whether it is the opening of a new location or the recruitment of new students or new colleagues. From pencils to image videos: Whatever we get our hands on bear not only the Phorms signature, but also leaves a positive first, second or even lasting impression. 

  • Controlling

    In the controlling department, we advise and support the management of our kindergartens and schools in commercial matters. This includes traditional reporting, ad hoc analyses, forecasts and budget planning, as well as supporting the costing of special projects such as a new canteen or sports hall. We are also responsible for group issues such as risk and liquidity management and human resources. 

     

    As our financial year coincides with the school year, the budget phase from mid-April to early June and the year-end closing in September/October are the busiest periods. July, August and December are quieter, which leaves ample time for creative project topics. We don't work in a consumerist way, but with sense and reason to ensure our economic viability, as this is the basis of our existence, without which we would be unable to run a school. 

  • Accounting

    Our accounting team ensures that the invoices for all school and kindergartens are paid on time. This includes everything from ordering school books and invoices for parental contributions, to the provision of the necessary inventory for locations and the payment of staff. This allows everyone at the locations to focus on their core competences, whether that be administrative tasks or working with children.  

     

    As an accountant, you will work within accounting guidelines, but will also be able to take a lot of initiative with the locations and employees. For this reason, each location has at least one accountant as a direct contact person. Our financial year corresponds to the school year and ends in July. This means that the annual accounts are prepared in the summer, and you can look forward to the public holidays at the end of the calendar year - we don't have any holiday closures.

  • IT Business Applications

    Our dedicated IT Business Applications team never stands still, working at the pulse of the ever-changing IT landscape. Their aim is to drive forward the digital transformation at Phorms. Our team is responsible for supporting various applications, such as MS Teams and Office, in close collaboration with the central IT department, other administrative departments and our schools and kindergartens.  

     

    Projects include important initiatives such as the redesign of our intranet and the introduction of electronic signatures for parental contracts. The development of our school management software and the provision of modern digital communication solutions for parent liaison are also key elements of our work. 

     

    Compared to large corporations, we have not lost our flexibility. By working on a wide range of different projects and application areas, employees have the ideal opportunity to work with modern tools and constantly new use cases, thus continuously expanding their knowledge. Throughout, the team keeps an eye on critical issues, looking for ways to optimize processes and ensure that our IT systems are future-proof. 

  • Central IT

    As the central IT department of an educational institution, we are responsible for the basic IT infrastructure. It is an essential element that enables teachers and students to work effectively in an increasingly digital world. We ensure that network access and local area networks function reliably and support seamless communication and collaboration.

    We are committed to promoting digital literacy and ensuring that our IT infrastructure provides everyone with access to modern learning and teaching opportunities. Our IT department stands for innovation and reliability, which are the foundations for successful education in the digital age. 

  • Purchase

    The purchasing team is responsible for ensuring that our nurseries and schools have all the teaching materials and furniture they need at all times. To do this, we define intuitive processes for requisitioning and have a close look at the items required. Whether mosquito bite healers or chestnut borers, school books or smartboards - every item has its place and our aim is to provide the locations with the best possible product in each case. Our tasks also include centralized facility management for our facilities. 

     

    In doing so, we find ourselves in a balancing act between the educational requirements of our facilities' employees and the existing business restrictions. Despite fragile markets with price increases and supply shortages, we do everything we can to support educators so they can fulfil their educational mission with as little procurement effort as possible.

  • Front Office

    When you enter our headquarters in Berlin, the Front Office is the first department you encounter, as we are responsible for welcoming guests, whether they are candidates, colleagues from other locations or business partners. Another important part of the Front Office is office communications, including general incoming emails and the central telephone system. Then there is the incoming and outgoing mail: all letters, parcels, courier consignments and goods deliveries pass through the Front Office on their way, where they are managed, routed and filed.  

     

    We also digitize postal invoices and manage some of the credit cards, as well as the cash register and all the keys. We are also responsible for ordering and managing office supplies, consumables, food and gifts for our staff, as well as ensuring that both kitchens are clean and in good working order. We also manage the conference rooms, plan and book all travel and are involved in the organization of board meetings and the Annual General Meeting. We support the management and our colleagues in the various departments wherever we can. Whether it's stamps, databases or hotel bookings, we are masters of the entire office management repertoire. 

  • Business Development

    Business development is an important element in the further development and growth of the Phorms Group. Depending on the cities and regions we analyse, we work in the initiation phase to promote the establishment of new kindergartens and schools as well as the integration of existing providers into our school network. One of our tasks is to establish contact with the various parties involved. These can be, for instance, contacts in local government, authorities, property developers or the management of an existing facility. 

     

    During the implementation phase of a project, we support the project team during the implementation and take on parts of the project management. We prepare the necessary documentation and closely monitor all developments. During the integration phase, we are the point of contact for the decision-makers at the new facilities and ensure that experience and best practice approaches are utilized.  

     

    Throughout all phases, we document the progress of the project, identify the need for change and adapt our processes for the next projects. We collaborate closely with other departments such as Legal, Controlling and Marketing, as well as our schools' principals, to ensure that the project is managed as a unified whole. 

  • Legal

    As the legal department, we support and advise our schools, nurseries and administration on all legal issues and concerns. We focus on contract and labour law as well as commercial tenancy law. We also deal with a range of other issues such as compliance, company law, public law and trademark law. We draft group-wide model contracts and guidelines, negotiate contracts and assist with their enforcement. We monitor legal developments relevant to Phorms, provide information about them and offer in-house training on various legal topics.  

     

    As a small team, we have a generalist approach, which makes our work very diverse. We have a lot of time and creative freedom to make a positive impact.
